What is an EV health check?

The basics...
• It's a comprehensive look into your Enterprise Vault configuration and environment.
• It's a deep look at the performance statistics associated with your hardware and software.
• It's a set of recommendations that could drastically improve your EV performance.
Why should you or would you need to perform a Health Check?
What happens many times is an organization hires a firm to install their archiving system and they want to use a consulting firm that is known to them or already in there approved vendor list. The downfall to this is when that vendor has little to no experience in installing the system and they don't follow best practices and or incorrectly size the environment. Likewise some customers will attempt installation themselves and get the same or worse results. Data Archiving systems are not to be taken lightly, they are complex and take knowledge and experience to setup correctly.
Over time Data Archiving systems bloat with data, companies grow and more mailboxes and file-stores are added to the system. What was once an adequate server and storage platform can easily become underpowered creating bottlenecks and performance issues. Sometime just a lack of knowledge can be cause performance headaches.
Example: A customer contacted us explaining that they were having issues backing up there archived data and that they wanted to replace their backup system with something that could meet the needs of the huge amount of archived data. What they didn't know (which I showed them) was that they were backing up there entire archive nightly when they needed to only backup a subset of the data nightly and the rest monthly. This greatly reduce their backup needs and allowed them to utilize their current backup infrastructure for several more years. So we lost the backup business but gained a long term customer, which fits with the Cornerstone philosophy perfectly. So a simple 2 day health check saved them many thousands of dollars they were planning for a new backup system and allowed them to utilize those dollars else where.
The last thing you want is to have a legal search request and you attempt to provide it only to find out your E-Discovery system isnt up to the task. The main reason for Data archiving used to be to reduce storage needs, the main reason in todays market is for E-Discovery perposes. Not knowing the health of your archiving system could put you in this spot.
What are the benefits of performing a Health Check on your Data Archiving environment?
- Finding performance bottlenecks in your storage and or servers.
- Software installation and design issues.
- Finding hardware issues.
- Providing a concise report with direction on what needs to be changed or repaired to improve your system.
- Making sure your Data Archiving and E-Discovery System is going to be ready when you need it.
Cornerstone will have a highly qualified Enterprise Vault engineer come on-site or work remotely (your preference) and gather detailed performance information about your current EV environment. We will perform an analysis of your overall Data Archiving system and give you statistics and information that will make a real difference. Instructions on what you need to do next to improve your Archiving system and provide a better experience for you and your end users.
This Health Check includes but is not limited to:
- Enterprise Vault Directory Servers, SQL servers, DA servers, CA servers.
- Data stores and there related performance.
Once we have gathered the info, this usually takes at least 24 hours. We then sift through the data and look for problem areas, performance bottlenecks, incorrect registry and software settings. From this we will put together a detailed report on our findings which will include distinct recommendations on changes to improve performance and repair problems.
